Contacts: Company Tags
CIMS comes with a fully featured Contacts Management System which is easy to use. At the centre of this are companies. In addition to address and contact attributes such as web site, email, twitter, skype and facebook attributes, companies also have classifications or Tags. Tags are used to show the category or categories of a company. Each company can have multiple Tags. Tags are very useful for publicity and marketing as well as analysis. On CIMS companies can be found by their Tag or Tags. For example find all Advertising companies in Germany.
Creating / Adding Company Tags
Normally Company Tags are created when data is imported for the first time (assuming the companies being imported have classifications). Once up and running, Company Tags can be created as and when needed.
To create / add a Company Tag to the Contacts Database, do the following:
1. From the main ring menu, select "View Listings"
2. Select Companies
3.Find the company to which the new tag is to be added
4. Select "Edit"
5. Make sure the required Tag does not already exist by typing the first few characters of the Tag required
6. If the Tag does not appear complete typing out the full name and select the "Add button"
7. The Tag has now been added
To Edit an existing Tag do the following
1. From the main ring menu select "Manage The System"
2. Select Tags
3. Find the Tag to edit
4. Make the required changes
5. Select the "Update Tags" button at the bottom of the screen to apply changes
Tags which are similar or which have similar meaning can be combined into one Tag. For example "Advertising" and "Advertising Agencies" can be combined for form one group called "Advertising Agencies". This is done by rename one Tag to the other.
Two combine two or more groups into one, do the following:
1. From the main ring menu select "Manage The System"
2. Find the first Tag to combine
3. Enter the new name in the "Rename?" column
4. Repeat step 3 for all Tags to be combined
5. Select the "Update Tags" button at the bottom of the page
6. Make sure the changes have been applied by noting the new number of companies of the new Tag - number in brackets
Note that the "Delete Tags" option is unforgiving and will delete the tags whether or not they are in use
To delete Tags do the following
1 From the main ring menu select "Manage The System"
2. Select Tags
3. Find the Tag to be deleted
4. Place a check in the Delete column
5. Select the "Update Tags" button to make the changes
Count: Number of companies in a category (with a Tag)
It is sometime useful to know the number of companies in a category, for example in publicity, marketing or checking if the correct Tag has been assigned.
To count the number of companies with a Tag do the following:
1. From the main ring menu select "Manage The System"
2. Select "Tags"
3. Find the tag representing the category whose count is required
4. The number of companies with the Tag is printed next to the Tag name
